CREWS

Crew Leader

The Crew Leader is the primary adult responsible for their crew.

The Crew Leader is expected to be in attendance every day.

The Crew Leader is responsible for:

  • Reporting Incidents/Injuries to the Staff Lead
  • Reporting Conflicts to the Staff Lead
  • Guiding crew members to and through activities
  • Meeting/Greeting Parents
  • Collecting Orange Cards
  • Knowing the names of their crew member

Crew Leaders are one of the most vital parts of KidVenture Camp, they take the Bible lessons that are taught in large/small groups and show kids how they are lived out. Someone who would like to serve as a Crew Leader should demonstrate: gentleness when caring for a crew member who might be having a hard time, patience when things don’t go as planned, and a joyful heart that they could be alongside a child in the beginning of their faith walk. 

Crew Helper

The Crew Helper is an adult who helps the crew leader care for their crew members.

The Crew Helper is expected to be in attendance as much of the week as possible.

The Crew Helper is responsible for:

  • Taking Attendance
  • Handing out name tag lanyards
  • Guiding crew members to a through activities
  • Learning the names of their crew members

Crew Helpers make sure the experience of their crew members stays positive. They are the extra set of hands for the Crew Leader. Someone who would like to serve as a Crew Leader should have a heart for kids and a desire to show them the love of God.

ACTIVITIES

For most of our activities at KidVenture Camp there are 3 volunteer roles: a Facilitator, an Adult Helper, and a Student Helper. Each of these roles have distinct responsibilities to help ensure the activity goes smoothly and that our campers have a great experience. The Facilitator is in charge of running and facilitating the activity. This may mean that they are up front instructing and instructing other volunteers. The Adult Helper assists the Facilitator in leading the activity, organizing student helpers, and engaging with the campers in the activity. The Student Helper is often responsible for carrying out tasks while the Facilitator and Adult Helper are preoccupied. This may mean they are resetting the activity while crews cycle in and out, taking campers to the bathroom, and guiding them through the activity.

In addition to these roles, each activity area has a staff contact from whom special directions and clarifications may come from. Below are the activity areas alongside their staff contact:

Large Group

Facilitator:

  • The Large Group Facilitator is the face of our Large Group time.
  • The Large Group Facilitator is responsible for
    • Ensuring the large group space is prepared for campers
    • Knowing the songs and motions for worship
    • Knowing the big ideas from the Bible Story Videos
    • Learning the names of campers throughout the week
    • Working with the Staff Contact ahead of camp to ensure Large Group is prepped and the curriculum is well understood.

The Large Group Facilitator brings the energy and gets campers excited to hear God’s word and to sing his praises. They should be engaging when up front and able to show campers that they are happy to see them each day. The Large Group Facilitator sets the tone for each camp day and for the campers’ experience in worship at KidVenture camp.

Adult Helper:

  • The Large Group Adult Helper assists the Facilitator in preparing for Large Group.
  • The Large Group Adult Helper may also assist during Large Group, but is primarily a behind the scenes role.
  • THe Large Group Adult Helper’s responsibilities are:
    • Working with the Large Group Staff Contact to prepare media for large group
    • Running media via ProPresentor for Large Group
    • Assisting the Large Group Facilitator in preparing the Large Group space for campers.

The Large Group Adult Helper helps set up the Large Group Facilitator for success. They work behind the scenes to assist in the production of Large Group allowing the Facilitator to focus on connecting with campers. The Large Group Adult Helper works closely with the Large Group Facilitator and Staff Contact to give kids a joyful worship and large group experience.

Student Helper:

  • The Large Group Student Helper assists both the Facilitator and the Adult Helper in their tasks.
  • The Large Group Student may serve primarily front or behind the scenes depending on their gifts.
  • The Large Group Student is responsible for:
    • Assisting the Large Group Adult Helper in setting up
    • Assisting the Large Group Facilitator in worship
    • Learning the songs and the motions
    • Encouraging campers to participate in worship by demonstrating joyful worship themselves.

The Large Group Student Helper is a flexible position and can be as broad as the student is able to serve. They are expected to bring a joyful attitude towards worship and large group, but how that is expressed may depend on the gifts given to the particular student. The Large Group Student Helper works closely with the Staff Contact, Facilitator, and Adult Helper to develop confidence and gain experience in leading a Large Group environment.

Small Group

Facilitator:

  • The Small Group Facilitator leads crews in the small group lesson.
  • There will be multiple Small Group Facilitators throughout the week, one for each day.
  • The Small Group Facilitator is not expected to be in attendance on the days that they are not facilitating small groups.
  • The Small Group Facilitator is responsible for
    • Ensuring the small group space is set up.
    • Knowing the small group lesson.
    • Preparing small group activities
    • Engaging campers in God’s word.
    • Making the Bible story personal to their life and to the lives of our campers

The Small Group Facilitator plays a key role in sharing the word of God in a way that campers can connect to. They help campers see Jesus as someone that they can trust and who wants to have a relationship with them. The Small Group Facilitator works with the Staff Contact to ensure they have and understand the small group curriculum, how it connects to large group, and how the topics of each day relate towards each other.

Adult Helper:

  • The Adult Helper is responsible for:
    • Welcoming and engaging campers at small group
    • Assisting the Small Group leader with set up and tear down.
    • Assisting crews as they participate in small group activities

The Small Group Adult helper functions as a second person in the room who understands all of the small group activities ahead of time. They know what the crews need to do and can help campers who get stuck without the lesson being disrupted for others.

Student Helper:

  • The Student Helper shares all of the same responsibilities as the Adult Helper.

Lobby

The Lobby is a new space that we have introduced to KidVenture Wednesday nights over the last year. This space will open the morning and engage campers as they arrive. The lobby also acts as a buffer time for check-in and late arrivals so when the day gets kicked off in full, everyone is starting from the same place. This is a time where crew volunteers can hand out name tags and welcome their crew members individually while the lobby activity is going on.

Facilitator:

  • The Lobby Facilitator will run pre-made activities which are run on a screen up front as campers arrive.
  • The Lobby Facilitator is not expected to be in attendance everyday and can be fulfilled by multiple people
  • The Lobby Facilitator is expected to be ready to go before campers start arriving.
  • The responsibilities of the Lobby Facilitator include:
    • Working with the staff contact to make sure the lobby activity is prepped and ready in advance of the morning.
    • Creating a welcoming environment and an unintimidating tone
    • Dismissing crews to large groups in an orderly fashion.

The Lobby Facilitator requires an ability to speak off the cuff while remaining gentle and encouraging for campers who may be nervous to walk into camp. The Lobby Facilitator needs to be flexible with their plans and be able to adapt if a game is not working as expected. While it may not seem like it, the lobby is one of the most important experiences of the morning as it sets the tone for the rest of the day. 

Games

Games is an opportunity for crews and their leaders to grow closer together through play. This time is structured, not freeplay, so that campers are able to build teamwork through both cooperative and competitive games. 

Facilitator:

  • The Games Facilitator will work with the staff lead to 
    • plan games for each day
    • prep supplies ahead of camp
  • The Games Facilitator is responsible for 
    • Explaining each game to crew leaders and campers
    • Being in attendance each day of camp. 
  • The Games Facilitator will lead Adult Helpers and Workcrew members to
    • Set up games for each crew
    • Understand and participate in games
    • Tear down from Games at the end of each day

Games is led by a Facilitator and an Adult Helper, but they will also have Student Helpers from the workcrew. The Facilitator is the subject matter expert on Games. They need to know in advance of camp what games campers will be playing each day. They need to have adaptations of games ready in case of weather restrictions. Different games will be needed for different age groups, not only to account for the difference in abilities of Pre-K to Elementary, but also for Kindergarten to 4th graders. 

Adult Helper:

  • The Games Adult Helper will
    • Prep games each morning
    • Tear down at the end of each day
    • Meet with the Games Facilitator daily to plan for the following days games
    • Cheer kids on as they play.
    • Get to know campers and assist their crew leaders in games that might be challenging.

The Games Adult Helper does not have as much “up front” work to do as the Facilitator, but that doesn’t lessen their role. The Adult Helper is the next most knowledgeable person for games and can help Crew Leaders when their campers might be challenged by a game. The Games Facilitator is responsible for explaining each game to everyone which may limit their ability to attend to specific challenges an individual camper might face. The Adult Help has more flexibility and can work closer with the individual campers.

Crafts

Facilitator

  • The Crafts Facilitator is responsible for
    • Planning and Preparing crafts for each day
    • Explaining each craft to their Helpers, Crew Leaders, and campers.
    • Cleaning up the craft room each day
    • The Crafts Facilitator is expected to be in attendance each day of camp.

The Crafts Facilitator leads campers as they use their creative gifts to help reinforce the Bible Lessons. This role requires a lot of preparation which may require the Facilitator to work with the Adult Helper and Staff Lead ahead of time to make sure everything is ready for camp. There is craft curriculum available that aligns with the camp curriculum so original crafts are not needed for every day, but the Crafts Facilitator may decide to forgo using some of the predesigned crafts and opt for something original that better fits the abilities of our campers.


Adult Helper

The Crafts Adult Helper is responsible for:

  • Knowing the craft for each day
  • Prepping crafts for each crew
  • Assisting campers with each craft
  • Encouraging campers and celebrating their creativity

The Crafts Adult Helper works with individual campers and crew leaders to help answer questions from the Facilitators explanation. This requires the Adult Helper to be aware of each step of the craft so that they are able to operate independently from the Facilitator, helping the most campers possible.

Snacks

Facilitator

  • The Snacks Facilitator is responsible for
    • Working with the staff lead to plan and prep snacks for each day
    • Portioning out snacks for each crew
    • Directing the work crew to deliver snacks

Snacks will all be prepped in one kitchen for both Pre-K and Elementary. This means the Snacks Facilitator will be responsible for snacks that are appropriate for Pre-K through 4th grade. Snacks will be prepared by the Snacks Facilitator and the Adult Helper and they will also have Work Crew Student Helpers who will deliver the snacks to each crew. 

Adult Helper

  • The Snacks Adult Helper will assist
    • In prepping and portioning out snacks each day.

The Snacks Adult Helper will work side by side with the Facilitator to keep our campers well fed. While this work may be more behind the scenes, I’m sure all of the crew leaders will greatly appreciate it!

WORK CREW

Workcrew is a new team this year for KVC. It is a team of Hebron Students (5th grade and up) that will transport snacks, assist with set up and tear down, welcome families at drop off and pick up, and cheer campers on along the way. Workcrew makes camp happen!

While flexible to accommodate summer schedules, Work Crew members need to communicate to staff lead clearly and with ample warning when they will be in attendance and if they need to leave early/arrive late. All Work Crew members are expected to assist with set up and tear down if possible.

Work Crew members will be assigned a specific area that they will be serving in. This area may change throughout the week. They may fill in as the Student Helper for an activity area when needed or provide extra help to an activity when needed (example: water day games).

  • Games
      • Work crew members who assigned to games are expected to:
        • Meet with the Games Facilitator so that they understand each game
        • Lead and play with campers throughout games
        • Encourage and celebrate with campers as they play
        • Learn campers names throughout the week.
  • Crafts
      • Work crew members who assigned to crafts are expected to:
        • Communicate with the Crafts Facilitator so that they understand each craft
        • Engage with campers as they work on their crafts
        • Encourage and celebrate campers as they make their crafts
        • Learn campers name throughout the week
  • Snacks
      • Work crew members who assigned to snacks are expected to:
        • Know the camp schedule and where crews will be
        • Deliver snacks promptly to each crew
        • Assist the Snacks Facilitator with clean up
  • Greeters
    • Work crew members who designated as greeters are expected to
      • Enthusiastically welcome families as they drop off and pick up campers
      • Learn names of campers throughout the week so they can be welcomed by name
      • Greeters will be given other assignments that they will attend to after check-in is complete.

ON-CALL

Each day, one extra adult is needed to be “On Call.” The On Call Adult is expected to be on campus for their assigned day of camp. During camp they are expected to:

  • Walk the campus
  • Check in with other volunteers
  • Provide Crew Leaders with help when needed (ex: behavioral assistance/bathroom breaks)
  • Fill in for sick or otherwise predisposed volunteers
  • Cover for staff members if that staff member is needed elsewhere
